Webinars & events

The signups are in. Will anyone show up?

A week passes between “registered” and “attended” — long enough for most people to forget your event exists. Maia keeps the list warm: invites, confirms attendance, reminds the day before and a couple of hours out, and calls back anyone who never joined.

  • Invite & confirm
  • Three reminder waves
  • Win back no-shows
  • Statuses to CRM

What Maia takes off your plate around the event

Invites and signs people up

Calls through the list, gives a one-breath pitch of the event and records who's in — the contact card lands straight in your CRM.

Asks who's coming

A couple of days out it checks plans: definitely in, on the fence, dropped out — and tags every contact accordingly.

Reminds twice

A day before and two hours before the start — a short call in the attendee's timezone, so the event doesn't slip their mind.

Wins back no-shows

Anyone who registered but never joined hears where to watch the recording and when the next date is.

Gets through the whole list

Up to 20 conversations at once — even a long list hears the reminder before the start, not after.

Launches on its own

Set the waves up once — from then on they fire by themselves, a whole webinar series ahead if you like.

Shows the full picture

Confirmed, attended, missed — per-attendee status, call recording and a text transcript for every conversation.

Why so few make it to the broadcast

Registering for a webinar takes seconds, which makes it an easy decision — and just as easy to forget. Reps sit down to call the list with reminders, get through the top of it, and the people who didn't show stay a row in a spreadsheet.

  • The list goes cold by event day — people forget why they signed up
  • Not everyone opens a reminder email, but a phone call is hard to miss
  • Manual calling runs out of hours: covering the whole list before the start is unrealistic
  • Nobody calls the no-shows back — the recording and the rerun never reach them

Reminder waves: what the calendar looks like

A classic three-touch scheme you can set up in an evening. Each wave has its own list and its own conversation script, with timing calculated in the attendee's timezone.

  • A day before — confirmation: “Tomorrow at 7 pm, are you with us?” Anyone who changed their mind is tagged; anyone on the fence hears why it's worth coming
  • 2 hours out — a short reminder: topic, time, where to watch. Thirty seconds that decide whether the stream gets opened
  • After the start — a call to those who haven't joined: the broadcast is still on, there's time to make it
  • The next day — no-shows hear where the recording is and when the next date runs, so the contact isn't lost after one event

What you need to launch

  • Your registration list — a plain spreadsheet with names and phone numbers is enough
  • Attendee name, topic and event time drop into the lines: everyone hears a call about them, not a copy-paste blast
  • Answers to “what's the webinar about, who's the speaker, what does it cost” come from the project's knowledge base
  • Waves are pinned to the event date — the schedule runs itself, all that's left for you is to go live
  • If an attendee is ready to buy or asks something tricky, Maia hands them to a live rep on the spot

What changes

  • More people in the broadcast: they were reminded by voice, not by an email that never got opened
  • Your team stops spending evenings dialing lists before every launch
  • No-shows get a second chance — the list doesn't burn out after one event
  • Attendance statuses flow into your CRM by themselves, with a recording and transcript for every call
  • The budget is predictable upfront: from 5 ₽ per minute of conversation
FAQ

Frequently asked

How many times will Maia call one person?
As many as you set. Typically three touches: confirmation, reminder and post-event win-back. If someone doesn't pick up, the agent retries — up to five attempts per wave.
What if it's a bad time to talk?
Maia apologizes and calls back later — the retry interval is configurable. No late-night calls: the calling window and each attendee's timezone are set in advance.
How does the agent know the event details?
You pass the name, topic and time along with the attendee list, and answers about the program and speakers come from the project's knowledge base.
How do I know a wave worked?
The dashboard shows every call: reached or not, what the person said, plus the recording and transcript. Statuses land in your CRM, and the list exports as a spreadsheet.
Does it work for offline events?
Yes: conferences, open-house days, workshops. Same logic — only the conversation script and the wave schedule change.
We run webinars weekly — do we set it up every time?
No. The configured scenario is reusable: change the date, upload a fresh list, and the waves run again.
